One shelf for every image

The Media Library holds the photos you bring and the images your team makes, in one place, newest first — and you can always tell which is which. Anything on this shelf can be attached to a post while you're reviewing it, which is the whole point: your real photographs beat a generated stand-in almost every time.

Open it from Media Library in the sidebar.

Getting your photos in

Drag files onto the drop zone at the top of the page, or press Browse files. JPEG, PNG, GIF and WebP, up to 10 MB each, as many at once as you like. Uploads show their own progress and appear in the grid as they finish.

Every uploaded image is then labelled automatically: Staffiva looks at it and writes a description, some tags, and a short “good for” list — the situations that photo suits. That labelling is what lets your team pick the right picture for a post instead of picking the newest one. It takes a moment; the card says so while it's happening, and says so plainly if it didn't finish, with a button to run it again.

Tip: upload twenty real photos early — your space, your product, your team, your work. It's the cheapest quality improvement available to you, and it costs no credits.

Finding something again

  • Filters — All, Uploaded, AI-generated, Reels, and Products, each with a count so you know what you have.
  • Search — searches the names, descriptions and tags, including the ones written for you.
  • Sort — newest, oldest, most used, or name A–Z. “Most used” is a fast way to find the picture your posts keep reaching for.

Opening an image

Click any image to open it. What you see depends on where it came from:

  • An image your team made shows an AI-generated badge and How this was made — the actual prompt behind it. Nothing is passed off as a photograph.
  • An image you uploaded shows its upload details, plus the description, tags and “good for” list. All three are editable — press Edit description and correct anything that's wrong.

Both show how many drafts currently use the image, and give you Download, Cross-post (send this one image to several networks at once, with a caption written for each), and Re-run AI label.

Marking something as a product

If an image is a real product, tick Feature this as a product and give it a name. Product-tagged images get used in product posts instead of a generated stand-in — so the thing in the post is the thing you actually sell. Once tagged, Promote this product takes you straight into the composer with the product already filled in.

Deleting

Deleting is usage-aware. If drafts are using an image, the dialog lists them and asks you to detach it there first, rather than quietly leaving a post with a hole in it. An image nothing is using deletes straight away.

Common questions

Does uploading images cost credits?
No. Uploading, labelling, searching, editing descriptions and tagging products are all free. Credits are for what your agents produce — see the Credits guide.
Can I tell which images are AI-generated?
Always. They carry a badge in the grid and in the preview, and the preview shows the prompt they were made from.
Will my photos be used automatically?
They're available to every draft, and the descriptions and tags are how the right one gets chosen. You can always swap the image while reviewing a post.
Why is my image's description empty?
Labelling either hasn't finished or didn't complete. The card says which, and Re-run AI label tries again. You can also just write the description yourself.
